The cancellation policy below applies to most trips listed on Yugen Earthside. Occasionally, our local partners prefer their policy, which we respect. The applicable cancellation policy will always be referred to or indicated on the checkout page.

Cancellation Policy

Cancellation by the Traveler

Cancellations must be made in writing via email or official correspondence.

For trips booked 120+ days in advance:

  • A refundable deposit equal to 30% of the trip price is required to confirm the trip. This deposit is fully refundable for 30 days.
  • The balance is due 60 days prior to the departure date.

For trips booked 90-120 days in advance:

  • A partially refundable deposit equal to 30% of the trip price is required to confirm the trip. You may recoup 50% of the deposit if you cancel their trip within 30 days.
  • The balance is due 60 days prior to the departure date.

For trips booked 60-90 days in advance:

  • A non-refundable deposit equal to 50% of the trip price is required to confirm the trip.
  • The balance is due 30 days prior to the departure date.

For trips booked <30 days in advance:

  • The full trip balance is required to confirm the trip and is wholly non-refundable.

No refunds will be issued for no-shows or unused portions of the trip.

Cancellation by Yugen Earthside

In the unlikely event that we need to cancel your trip due to unforeseen circumstances (e.g., weather, group minimums not reached, or other factors), we will provide two alternatives:

  1. Help you rebook your trip to another departure date of equal or lesser value, from the same local partner as the original trip, subject to availability.
  2. Provide a full refund.

Cancellation by Force Majeure

No refunds or compensation will be provided for cancellations or disruptions due to circumstances beyond our control, including but not limited to natural disasters, pandemics, political instability, or other emergencies.

Travel Insurance

Payment Policy

Payment Methods

For most trips, we use the WeTravel payment processing platform which accepts credit/debit cards (for an additional fee) or bank transfers (free of charge).

Trip prices are listed in USD $. WeTravel provides the option for you pay in your local currency.

We can also Venmo and PayPal (for an additional fee) or wire transfers (free of charge).

Late Payments

WeTravel will send you automated reminders of your upcoming payments. If paying outside of WeTravel, it is your responsibility to ensure on-time payments.

If the final payment is not received by the due date, we reserve the right to cancel the booking without a refund of the deposit.

Amendments and Changes

Changes by the Traveler

Requests to change travel dates, destinations, or other arrangements after issuing payment for a trip must be made in writing and may be subject to an amendment fee.

Changes are subject to availability and any additional costs incurred.

Changes by Yugen Earthside

We reserve the right to make minor changes to the itinerary or accommodations. Significant changes will be communicated promptly, and alternative options will be provided.
